Navigating Japan’s multi-level train stations, crowded subway platforms, and narrow staircases with heavy suitcases can be exhausting. Japan’s luggage forwarding network—known universally as Takuhaibin—is a game-changing service that lets you travel hands-free. Major carriers like Yamato Transport (famously recognized by its black cat logo, or Kuroneko), Sagawa Express, and Japan Post will transport your large luggage directly from one hotel lobby to the next, or from international airports straight to your accommodation, for roughly ¥2,000 to ¥3,500 per standard piece.
How to Send Luggage from Your Hotel Lobby
Sending a bag between cities is seamless and requires no visits to a depot:
- Ask the Front Desk: Nearly every hotel, business chain, and ryokan handles luggage forwarding directly from the reception counter.
- Fill Out the Waybill (Denpyo): The front desk staff will provide a standard shipping voucher. Write the destination hotel’s full name, address, your reservation name, and check-in date in English (having the Japanese address saved on your phone makes this instant).
- Pay Cash or Card: Hotel reception will measure and weigh your bag, collect payment, and hand you a tracking slip. When you check in at your next destination, your bags will be waiting behind the desk or already placed in your room.
Delivery Timelines: Same-Day vs. Next-Day Buffer
For standard intercity routes (such as Tokyo to Kyoto or Osaka), forwarding is typically next-day delivery. If you hand your luggage in by 9:00 AM or 10:00 AM, it will arrive at your next hotel the following afternoon. Prepare a light overnight daypack with one change of clothes, phone chargers, and essential toiletries so you can travel unburdened on your transfer day. (Note: shipments to outlying islands, remote mountain areas, or Hokkaido/Okinawa may take two full days).
Airport Luggage Transfers (Arrival & Departure)
You can forward luggage directly from the airport upon landing. Service counters for Yamato Transport and Sagawa are located in the arrivals hall at Narita, Haneda, and Kansai airports; drop off your heavy suitcases immediately after clearing customs, and head into the city carrying only your daypack.

Japan Post Offices: Mail, Postcards & EMS
For standard postal needs, look for Japan Post offices, identifiable nationwide by their red 〒 symbol. Most post offices feature English-friendly counter staff and sell stamps for international postcards (around ¥100) and souvenir postage sets. If you accumulate too many souvenirs or bulky purchases during your travels, you can ship boxes back home directly via EMS (Express Mail Service) or international surface parcel post, both of which provide full end-to-end tracking and insurance.
Shinkansen Oversized Baggage Rules
Using Takuhaibin also saves you from the strict baggage restrictions on the Tokaido, Sanyo, and Kyushu Shinkansen (the bullet train line between Tokyo, Nagoya, Kyoto, Osaka, and Fukuoka). Any suitcase whose total combined dimensions (length + width + height) exceed 160 cm up to 250 cm legally requires a specific “Oversized Baggage Area” seat reservation in advance. If you board without booking this designated seat, you will be charged an on-the-spot penalty fee of ¥1,000 and train staff will relocate your suitcase to a secure storage compartment. Forwarding large bags ahead avoids this reservation hassle entirely.
